Project Support Officer

Overall aim of the post

To join our small and friendly team in Cardiff and ensure the smooth running of the charity by providing administrative and communication support to help deliver our engaging and innovative programme of work in Wales and internationally.

You’ll play an essential role in the team by providing administrative management while supporting and organising the team.  It’s important you have strong organisational skills and the ability to prioritise your work and use your initiative. You’ll enjoy problem-solving and working to deadlines and will be passionate about tackling climate change in a positive and empowering way.

Main responsibilities

Administrative Support

  • Provide the first port of call for all in-coming queries to the charity. Including, but not limited to, answering telephone and email enquiries and providing general office support.
  • Overseeing all administrative duties at the office including, collating mail, arranging meetings, monitoring resources and maintaining all stationary stocks
  • Managing the team calendar, including updating meeting appointments and ensuring team member’s calendars are updated.
  • Managing the administration of regular team and board meetings including circulation of documents, room bookings, organising refreshments and taking minutes.
  • Managing filing systems and data management, including developing and maintaining a contacts database
  • Organising translation services where needed
  • Updating financial records including reconciling credit card statements with receipts and recording incoming invoices.
  • Managing incoming donations and associated records.
  • Working closely with finance staff to ensure accounts are up to date.
  • Support the delivery of the education and corporate engagement programmes.

Communications Support

  • Ensure that social media channels are regularly updated.
  • Liaise with project partners to get news and updates.
  • Create email campaigns and social media content.
  • Support production of case studies, press releases and other promotional materials.
  • Assist in the management and updating of the website and other virtual platforms.
  • Provide administrative support to annual campaigns such as Go Green Day and the rugby raffle.

Cross-Cutting Responsibilities (shared with all staff)

  • Contributing in a fair and proportional way to shared Size of Wales activities.
  • Reporting on progress to your line manager and, where requested by the manager, directly to the Board and funders.
  • Recruiting, managing and/or supporting volunteers as required.
  • Ensuring that the programme is delivered bilingually and actively increases the involvement of Welsh speakers.
  • Undertaking occasional other duties where delegated by the Director or Board.

Person specification

Essential

  • Excellent organisational skills and attention to detail.
  • Strong written and verbal communication skills, including the ability to communicate complex issues in a clear and accessible way.
  • The ability to work as part of a team, but is also able to work independently without constant supervision.
  • Able to multi-task, with the ability to manage a range of deadlines and competing priorities.
  • Excellent IT skills with proven competence in Microsoft Office, Dropbox, Google accounts and Google Drive.
  • Good relationship-building and management skills, the ability to develop and maintain relationships with businesses, partners and other stakeholders
  • The ability to think on your feet! Every day will be different and you must be able to take a flexible and dynamic approach to your work.

Desirable

  • Ability to communicate in Welsh is highly desirable.
  • Experience with a range of social media channels including twitter, instagram, facebook and LinkedIn. Familiarity with Campaign Monitor would be a bonus.
  • Able to update and edit WordPress managed websites.
  • Experience of using CRM systems (for example HubSpot).
  • Knowledge of climate change and the vital role that tropical forests play in tackling this global challenge.
  • A creative eye with the ability to write engaging copy and help design professional looking and effective promotional materials.

Job details

  • Salary – £17,000 – £21,000 dependent on experience
  • Contract duration – Fixed term contract to 31st March 2018 with a view to extend, funding dependent. There will be a 3 month probationary period.
  • Hours – This is a full-time position of 40 hours per week. There will occasionally be a requirement to work evenings and weekends. We operate a flexible working policy and will consider requests for job share.
  • Pension – The post-holder may join Size of Wales’ pension scheme.
  • Annual leave – 30 days pro rata including bank holidays.
